Background

IC Procurement were approached to undertake the re-tender of three existing FM Contracts that were due to expire within the next 12 months. The contracts were originally placed in isolation to each other and subsequently let under different terms with three different suppliers. Subsequently, the clients leadership team were becoming frustrated at inconsistency of approach, performance and resource required, which ultimately, was having a negative effect on the relationship with the customers (retail tenants). In addition, the client did not have the in-house FM procurement capability to carry out the re-tender.

Phase 2: Deliver

Working closely with the clients technical team, IC Procurement led the procurement of a single tender covering all three sites with specific responsibility for:
  • Procurement and contract management strategy
  • Tender management and programme
  • Coordination and Compilation of tender documentation
  • Assessment and award procedure
  • Negotiation
  • Contract placement and Handover

Outcome

A successful tender was carried out on time with a combined contract being placed with a single supplier on improved and consistent terms across all three sites. A set of performance measures were also incorporated into the contract allowing the client to effectively monitor and manage the performance of the contract via one Facility manager rather than three. There was also a total saving of c. £220k.
