Background

With the rapid expansion of its datacentre portfolio, a decision was taken to develop robust commercial practices for managing FM across the organisation. A new Procurement function was established within the European territory covering FM, Materials and Operations, Technology and OFCI (owner furnished contractor installed) projects and upstream construction and client-led projects.

Task

Lead the tender of a consolidated FM Services package (Hard, Soft and Material management) including Development of business case, commercial strategy and scope of work in collaboration with key stakeholders for purposes of containing and reducing service cost per site.

Outcome

Increased efficiencies and commercial benefit by 37% in FM services and Maintenance, Repair and Operations (MRO) spend while ensuring the following:

Continued physical maintenance of each datacentre to successfully maintain up-time
Transparency of warranties from date of installation with OEMs to be made known to key staff
Development of on-going support plans with both OEM’s and the aftermarket providing consistency in approach along with negotiating appropriate price-points
Consistency of spares kits for the model of system/product installed within all European sites
Client confidence, assurity and risk management processes in framework agreements, thereby maintaining the integrity of works in live environments
